Office Manager
JOOLA is seeking for a highly organized and proactive Office Manager to ensure our Maryland headquarters operates efficiently and professionally, and to support our HR and administrative group.. The ideal candidate will serve as an operational partner to our administrative group, and should be detail-oriented, comfortable in a fast-paced environment, and confident juggling multiple priorities at once. This role serves as a central point of contact for vendor relationships, facilities management, and cross-functional project support, including initiatives with our HR and Legal teams.
JOOLA was first established in 1952 and built a global reputation as a pioneer in table tennis. In 2022, JOOLA expanded into the rapidly growing pickleball scene and quickly attracted the biggest names in the sport. As an official table tennis sponsor for three Summer Olympic Games and the official sponsor of pickleball's top athletes and the Professional Pickleball Association (PPA), the team at JOOLA combines its storied expertise with fresh perspectives to bring innovation to both sports.

Responsibilities:
Office Operations
- Maintain a clean, organized, and well-functioning front desk and office environment
- Manage office supplies inventory, ordering, and budget tracking
- Coordinate office maintenance, repairs, and facility upgrades
- Ensure office safety and compliance with building/workplace standards
- Plan and organize internal company events (team celebrations, holiday parties, all-hands meetings, offsites, etc.), including logistics, catering, and vendor coordination
Vendor & Facilities Management
- Source, negotiate, and manage relationships with external vendors, often working collaboratively with other internal function areas (cleaning, maintenance, catering, IT equipment, office supplies, etc.)
- Negotiate contracts and pricing to ensure cost-effective service agreements
- Coordinate and oversee repairs, installations, and service calls with contractors and vendors
- Monitor vendor performance and resolve any service issues promptly
HR & Legal Support
- Provide administrative and logistical support to the HR and Legal teams on various projects
- Assist with onboarding logistics, employee events, and general HR coordination as needed
- Support document organization, filing, and light research for Legal team initiatives
- Maintain confidentiality and discretion at all times
Qualifications
- 3+ years of experience in office management, operations, or administrative roles
- Strong organizational skills with meticulous attention to detail
- Proven ability to manage multiple projects and priorities simultaneously
- Excellent negotiation and vendor management skills
- Strong interpersonal and communication skills; comfortable working with stakeholders at all levels
- Experience supporting HR or Legal functions is a plus
- Proficiency in office management software (e.g., Microsoft Office, Google Workspace, project management tools)
- A proactive, solutions-oriented mindset
